FREQUENTLY ASKED QUESTIONS

Can I book a regular slot?

Yes, please email OfficeManager@bedfordhouse.org.uk to discuss your needs.

What is the cost of the hire?

The hire cost is dependent on the type of event, timings and your specific needs. You will also need to put down a refundable deposit. Please email OfficeManager@bedfordhouse.org.uk for more details.

How do I pay?

You can pay by card or BACS transfer. Call the office at 0208 504 6668 or email OfficeManager@bedfordhouse.org.uk . It is your responsibility to ensure your booking is fully paid up before the 3-week deadline prior to event date, otherwise we may have to give the date to another hirer, as we always have a strong demand for hall hires.

Can I view the hall beforehand?

Yes, please email OfficeManager@bedfordhouse.org.uk or call the office on 0208 504 6668 to book a viewing.

When do I pay?

You should pay the deposit immediately to guarantee the booking. You must pay the full hire fee at the latest 3 weeks prior to the event as we will otherwise assume you are no longer interested in the hire, and may hire to another hirer.  There is a high demand for hiring of the hall. We therefore recommend you pay earlier than 3 weeks before the event date to confirm your hire.

Will I get my deposit back?

If you left on time, and the hall and garden has been left in a clean and tidy state, as you found it, then your deposit will be refunded. You’ll receive an email when we have processed it. Please allow 21 days from the date of the hire for the refund to be processed and refunded back onto your card (if paid by card).

Cancellation policy?

The cancellation period is 21 days before the hire, and a minimum £10 cancellation fee in addition to any card fees incurred by Bedford House.

Will there be staff onsite?

Yes, a member of the Administration Team will always be onsite to answer your questions and supervise.

When can I arrive?

Please arrive for the start of your booking time. If you require extra time to set up or pack away, this must be accounted for in your time slot.

Facilities and Equipment?

The hall has a garden, kitchen, and female and male toilets. Tables and chairs are provided. The kitchen is equipped with a kettle, urn, microwave, and fridge available for use. The kitchen is included in the hire cost. Please see the photos above for more details. The cooker and oven are unavailable.

Capacity?

The capacity of our hall is 80 people. We do not accept bookings for events with more than 80 people. Please be honest about the number of people you expect to come. The hall and facilities are not suitable for larger parties.

How do I access the garden?

The hall and garden are connected. You can go back and forth as much as you like. Please note that hirers use the garden at their own risk and that grass is slippery if damp. Please ensure you tidy up the garden after you have used it.

Is there Wi-Fi?

Yes, we have Wi-Fi, the Wi-Fi password is on the notice board in the hall. If your event relies on Wi-Fi please discuss this with the Administration Office when booking.

PAT testing?

All electronic equipment must be PAT tested to be used in our hall. PAT testing (Portable Appliance Testing) needs to be done by a qualified electrician.

Can I bring alcohol?

Yes, you can bring alcohol, but alcohol must not be sold on the premises. As stated in our terms and conditions “If it is intended to sell alcohol during the hire period, a Magistrates occasional liquor license for the period must be produced to Bedford House, prior to the date of hire”.

Can I have external catering?

Yes, you can.

Am I expected to clean up?

Yes, you are expected to clean up and take out your rubbish in bin liners. Please leave the hall as you found it. Otherwise, your deposit will not be refunded.

What about rubbish?

We expect you to empty all the internal bins and put them in the large rubbish bin outside. If you have excessive amounts of rubbish you will be charged for disposal. It is BHCA’s decision if rubbish is excessive in volume.

Bouncy castles?

A small bouncy castle will fit in the centre of the hall. Please be aware of the hall measurements.  Approx. 130 ins (330cm) at highest point (peak of roof). Below the lights is approx. 95 inches (241 cm) (leaving a couple of inches for clearance). Please discuss this with your bouncy castle provider.

What if I break something?

As stated in the terms and conditions, “The Hirer agrees to indemnify Bedford House against all claims or damages sustained by a third party during the period of hire”.

Can I give feedback?

Please email either OfficeManager@bedfordhouse.org.uk or admin@bedfordhouse.org.uk. We would really appreciate any feedback and testimonials.
